2010 - 2011 Officers
Band
Parents, We
are sending you this email today to introduce you to a
new fundraising opportunity that we believe will benefit us all in many
ways. The name of
this fundraiser is
Centerplate and they are the company that handles all of the concession
stands
at the big venues in Louisville for example
Kentucky International Convention Center, Kentucky
Exposition Center, Louisville
Slugger Field, Papa
John's Cardinal Stadium, Louisville Downtown
Arena and the Kentucky
Derby Festival. Centerplate
allows non-profit groups
to volunteer for a variety of tasks in the concessions department. Our group, which would
consist of both
Junior High and High School Band Parents, Grandparents, etc., would
most likely
be volunteering in a concession stand on the concourse of the stadium,
preparing and selling food and beverage products during U of L
basketball
games, Louisville Slugger Bat games, U of L football games, and all
concerts
and trade shows at the Kentucky Exposition Center. Our group will
receive a
percentage of the profits after everything is cleaned and an inventory
has been
taken. I
would like to schedule a meeting this Thursday (May 6,
2010) in the High School Band Room at 7:00 P.M. for anyone interested
in
discussing this further. I
will explain
and answer any questions about the entire process and will have
handouts for
everyone to look over. We
will need a
core group to attend one training session with Centerplate then that
group will
be responsible for training everyone else. Our
goal for this fundraising opportunity is too possibly
replace all the “selling” that we do now throughout
the year and if enough
folks are on board we may raise enough money to end band fees. We know of other large
band programs that use
this opportunity as their only fundraiser for their entire budget year. To
give everyone an idea of what it costs to run this
program our 2009-2010 budget was $50,500 and the 2010-2011 budget has
just been
set at $83,800. The
main reason for the
increase is to pay for additional staff to help instruct the kids
throughout
the year. The
school system can no
longer help us out with instructors so we have decided to take this
expense on
so we can have a successful program for our kids. Should

Madison
Band Parents Association Article 1: Duties of Officers The President shall preside at all meetings of the organization and shall be an ex-officio member of all Committees. The Vice-President shall assume all duties of the President in his or her absence. The Secretary shall keep the records and minutes of all meetings and attend to the correspondence. The Treasurer shall receive all monies of the organization, keep an accurate record of it and payout funds as required. Taxes shall be completed by the President and the Treasurer in a timely manner.
Article 2: The Executive Board The Executive Board shall be composed of the Officers of the Association and the Director of the Bands. The Executive Board shall have general supervision of the affairs of the Association. The Executive Board may use the Advisory Board for consultation regarding the affairs of the Association. Article 3: Meetings The time and place of meetings shall be determined by the officers of the organization. Regular meetings shall be held monthly, during the school year. The May meeting shall be the last regular meeting of the school year, at which time annual reports shall be received and new officers installed. Special meetings may be called by the Executive Board Article 4: Fiscal Year The fiscal year of the organization shall begin on May 1 and end on April 30 of the following year. Madison Band

Constitution Article 1: The name of the organization shall be the Madison Band Parents Association. Article 2: The objectives of the Madison Band Parents Association are as follows: A. To create and maintain an enthusiastic interest in the various phases of the Band Program at Madison Consolidated Junior and Senior High Schools. B. To promote all band activities, concerts, social functions, trips, awards and similar projects. A major portion of the group’s effort will be directed toward fundraising in situations where extra funds are needed for special items not covered in the Band’s regular budget. C. To cooperate with those in charge of the Band program, and the School Board, so that this department may achieve a high level of efficiency. D. To set aside each year $2000.00 in a Uniform Fund, for new uniforms when needed. Article 3: The Membership of the Madison Band Parents Association will include the parents or guardians of the Band students at Madison Junior and Senior High Schools. A. An Association Advisory Board will consist of the Band Directors and the Music Program Leader. Non-voting members of the Board will be the Principal and/or Assistant Principals. Article 4: The Officers of the Madison Band Parents Association shall include President, Vice-President, Secretary and Treasurer, who shall hold offices for one year or until successors are elected. Article 5: The Standing Committees of the Madison Band Parent Association shall be as follows: Fundraising, Publicity, Uniform, Scholarship, Spirit Banquet and Auxiliary. Other committees may be appointed, as the Executive Board shall determine. A. The Fundraising Committee will propose and coordinate fund raising activities other than special events or concessions. B. The Publicity Committee will manage and coordinate various public communications, which may include a website, newsletters, articles for the local paper and radio announcements. C. The Uniform Committee shall handle dealings with the uniforms; keeping records on the condition of the uniforms, making certain uniforms are replaced and/or repaired, overseeing the issuance and return of uniforms. D. The Scholarship Committee membership may not include any Senior Class Band parents, whether the Senior is applying for Band Scholarships or not. E. The Banquet Committee shall set the date, order the awards and coordinate the food for the Spring Banquet. F. The Auxiliary Committee shall keep records regarding auxiliary uniforms and equipment, making sure uniforms and equipment are replaced and/or repaired, overseeing the issuance and return of uniforms and equipment. The Committee is to be chaired by the parent of an auxiliary member. G. The Director of Bands shall be an ex-officio member of all Committees. Article 6: The Dues of the Madison Band Parents Association will be set at zero. A Quorum shall be defined as majority of the Executive Committee. Article 7: Elections At the February meeting, the President shall appoint a Nominating Committee consisting of no less than three and no more than five members. The Nominating Committee shall present a report at the March Meeting. Officers shall be elected at the April meeting. Nominations may be made from the floor. In the event that two or more people are nominated for the same office, the elections shall be conducted by secret ballot. A simple majority is required for election. Article 8: The Madison Band Parent Association shall be governed by Robert’s Rules of Order, Revised Edition, excepting where Robert’s Rules conflict with the rules of this organization.

Madison Band Parent Association, provided the
amendment has been
read in at
least one preceding meeting and provided a quorum
has been
achieved.
